And yes you can take 1, but only in one of the 3 areas you do maintenance. You'll know where....

When is that guy with the safe going to leave his room so I can open the safe (I've figured out the poem)?

He'll leave when he's ready to leave. You've still a ways to go before then, lots to happen first.

What else can I do now that I've completed that maintenance doors task?

Explore everywhere, talk to everybody, and above all investigate.
Keep going back to places you've been and people you've seen. What's you're inventory?
